Setting Up Your BakeSmart Online Wholesale Module

BSOL Wholesale features are available to all Enterprise Customers.


Your customers will access your wholesale ordering site through the URL www.(yourbakeryname).bakesmart.com/wholesale and will be directed to enter a username and password. All special pricing you've programmed into BakeSmart carries over to online ordering and they can even pay their invoices here.


BakeSmart's Wholesale Online uses Products, rather than Catalog Items, which are used for the retail side of BSOL. This is because of the wholesale module's emphasis on standard items, instead of custom items like on the retail site.


To setup categories for the wholesale module, go to Settings then Products & Inventory then Product Categories. For each category/subcategory you want to include online, click the Online Options button and then check the Online Wholesale box. Remember to do the same for any Subcategory you want available to your wholesale customers online. 

When finished, click the Upload To BSOL button.

Product Setup

For each product to be used in the wholesale module you'll update from the Product Details screen. From the Product Details, click Online Settings. Check the box for "Include In Online Wholesale Manager". 

If this item has a minimum quantity for wholesale orders, enter it in Minimum Quantity.


If this item is only available in certain increments for wholesale orders (6, 12, etc.), enter the increment in Quantity Increment. When this value is entered, the customer will be presented with a drop down list of possible quantities, instead of being able to type in any quantity.

(Example: Apple Pie set as a minimum order quantity of 2 and then increments of one from there).


If this product has a related Catalog Item that is already being used on BSOL (retail side), you can choose to use that item's image for the wholesale product or to use the Product's image.

Note: If no selection is made, BakeSmart will use the catalog item's image if it's already been uploaded. Otherwise it will use the product's image.

Click Upload To BSOL Wholesale to upload the product.

To upload multiple products at a time, use the Use the Upload To BSOL Wholesale tag function. 

Note: If a product has a related catalog item that is already being used on BSOL, uploading that catalog item will also upload the product to the Wholesale BSOL.


Customer Setup


Each customer who will be granted access to the BSOL wholesale site has to be uploaded from BakeSmart. From the Customer Details, switch to the Wholesale tab. In the BakeSmart Online section, check the box to "Allow Access To Online Wholesale Account".

If this customer has an account, and you want them to be able to invoice any online shadow orders, check the box for "Allowed To Invoice Online Shadow Orders".

Assign a temporary password. The customer's log in information will be their email address (from the Details tab) and the temporary password.

Note: Instruct your customers to change their password the first time they log in.


If the customer forgets their password, enter a new password for them in the Temporary Password field and click Reset Password.


Click Upload to upload the customer's information.

If the customer has any standing/shadow orders in BakeSmart, those will be uploaded as well.

IMPORTANT: Once a customer has been uploaded to BSOL wholesale, any changes made to the customer's information in BakeSmart need to uploaded to BSOL manually. The upload should be done immediately after the change is made to avoid it being overwritten the next time the Create Standing Orders script is run.


To upload changes to a customer, click the Update Customer button. Update Customer uploads only information from the contact record. 

If you make a change to an online wholesale customer's standing /shadow order in BakeSmart, or create a new order for them in BakeSmart, the order can be uploaded by clicking "Upload Changes To Online Wholesale".


Example: Change standing order Sour Cream Cake Donut quantity on certain days, then click back to details and upload changes

Note: This should be done immediately after the change in made to prevent the change from being overwritten when the Create Standing Orders script is run.


Changes to Standing Orders

Wholesale order changes are automatically sync'd as part of the Create Standing Orders script that runs daily. Any changes made by your customers are downloaded before standing orders are created. Changes made online by the customer will overwrite any changes in BakeSmart and changes take effect on whatever lead time is programmed in by you for standing orders to become actual orders. Customer is given a message when updating a standing order as to when it will take affect.
