How to Create and Use BakeSmart's Loyalty Program

BakeSmart allows you to set up and manage a loyalty and gift card program directly in the software.


The loyalty program is designed so participants earn points three ways. Customers can earn points for buying a specific item(s), dollars spent or visits to your store. When a customer reaches a certain amount of points (determined by you), they can redeem on specific items or convert to a cash value to be spent at your bakery.


The loyalty and gift cards are one and the same. Not all gift cards need to be assigned to the loyalty program but all loyalty participants will be managed through gift cards when redeeming points that have converted to cash value.


To setup the loyalty gift card program go to the Menu button on the home screen, then settings, then Credit & Gift Cards

Now, you'll tell BakeSmart if you are building a Loyalty Program based on


1. Dollars spent at your bakery (most popular program!)

2. Visits to your bakery


NOTE: If you choose neither of these, loyalty points will just accumulate when customers purchase specific products that you've assigned points to. If this is the program you want to set up, you'll skip the top section and just down to the section titled "Earning and Redeeming Points on Specific Items".


To choose which option, you'll go to the "Award Points Based on field" and choose the correct option.

Make sure the Processor field is set to "Internal". 

Next you'll need to tell BakeSmart how many points it takes to earn cash. First, decide how many points per dollar spent the customer earns and enter that in the Points per Dollar Spent field.


Then click the "Convert Points to Cash Value" button and then enter the equation that you would like to award on.

(example: Points per dollar spent = 1 and When a customer accumulates 100 points, convert to cash value of $5.00)


You can also add a message that will print on the receipt when the customer reaches the goal! 

If you are setting up a Loyalty Program that is based ONLY on Dollars Spent or Visits to your bakery. You are done with settings. You can Skip to the section on how to add a customer to your Loyalty Program.


However, many customers will use Points on a Specific Item as a promotional tool for specials, which is explained in the next section. (Example: Assigning Gingerbread Houses 50 loyalty points during Christmas)


EARNING AND REDEEMING POINTS ON SPECIFIC ITEMS

If you want to assigned individual items Loyalty Points you'll need to assign point values to those products. You'll do this on the product detail screen in "Edit Mode". Then click on the Loyalty Settings button.

"___________Loyalty Points on Purchase "Here is where you will enter the number of points a customer will earn if they purchase this specific product. This number of points will be in ADDITION to the points earn for dollars spent or visits if you have that program set up in BakeSmart.

You can also add a number of points need to get this product for free. This number of points will go in the field labeled "Loyalty Points for Redemption"


You can repeat this process for any items you would to add Loyalty Points.


Adding a Customer to the Loyalty Program



To add a customer to the loyalty program go to the Customer Detail Screen. From the homepage go to Menu then to Lists then to Customers. Now, either search for the customer or add a new customer.

Then go to edit mode and click "Assign Loyalty Card" and then either swipe your physical card (if you have one!) or click "Keyed Entry" and type in the customer's phone number. Then click continue and then "Link To Customer"

This customer is now enrolled in your loyalty program.


How to Add a Loyalty Points to a Customer's Account


When a sale or order is on the Payment screen click on the Loyalty Card button. If there is a physical loyalty card swipe the card to associate the Loyalty account with the sale. If you are using a customer's phone number click "Keyed Entry" and enter the phone number.


Note: If a customer forgets the number they used for the loyalty program or someone else is picking up something for them, but want to add the sale to their loyalty program, you can click the Lookup By Customer and search for the customer that way.

Then click continue. Then process payment like you would normally. 

After the payment is processed, the points the customer earned on this purchase is updated.

Redeeming Loyalty Points or Cash Value Towards a Purchase

When a sale or order is on the Payment screen click the "Gift Card" and either swipe the physical loyalty card or click "keyed entry". The customer's account will show with the available Points and Balance. Then click Continue. The payment will process by deducting the cost from the available balance on the customer's account

The remaining balance on the customer's account will show after the transaction is complete.


Note: If the customer does NOT have the full amount available in their Loyalty Gift Card, then the full amount available will go towards the purchase and the remaining balance will show in the Total Due line and the customer can pay with a different payment method.
